Your priorities. Already on top.
Tell Penbox what matters to each mailbox. Urgent requests rise to the top, across personal and shared inboxes.
For insurers and mutuals
Penbox turns claims, subscriptions and servicing requests into structured cases. Policyholders finish one short guided flow on their phone, documents arrive checked, and your teams work files that are complete the first time.
Our team is reviewing your case. Your documents have been received, and we’ll let you know when there’s an update.
Your case has moved to review. You can follow every update from your portal.

Handlers open a case that already holds the message, the answers, the documents and the extracted data. Penbox prepares priorities, cases and replies before the day starts, so your teams spend their time on decisions instead of reading and chasing.

Hi Camille, thanks for the repair estimate. Please upload photos of the damage so we can continue reviewing your claim.

From first notification to ready case
Claims declarations, subscriptions, servicing changes and KYC refreshes each get their own journey: what to ask, which documents to collect, who needs to act. Your teams step in when the case is ready, not before.

Document Intelligence
Document Intelligence extracts typed fields, rates image quality and flags what is unreadable while the policyholder is still in the flow. At Groupama Protection Juridique, more than 26,000 files arrived structured and attached to the right case in the first three months.
Policyholder portal
Every case has its own status page. Policyholders follow progress, send what is missing and see what happens next, so your service team answers fewer calls asking where things are.

The whole case
One case for your team, your customers and AI agents. Illustrative demo, fictional data.

Control and compliance
Insurers work under strict review. Every action is logged, every document and decision stays on the case, and the security answers are public: ISO/IEC 27001, processing 100% in the EU and no AI training on your data.

INTEGRATIONS
Handlers stay in Outlook, structured data and documents move on through the API, and journeys can be built visually or with an agent. EuroCaution, for example, syncs Penbox with Microsoft Dynamics and SharePoint.

Use cases
Most teams start where volume and friction are highest, prove it on real cases and add more from there. Allianz began in claims operations and is expanding to underwriting and corporate.

Intake, documents and follow-up in one flow.

Changes, certificates and questions handled as structured cases.

Complete submissions and subscriptions without back and forth.

Refresh policyholder and partner data at scale, with automatic reminders.
Does Penbox replace our claims or policy administration system?
No. Those systems stay the record. Penbox runs intake, document collection, validation and follow-up, then passes structured data on through the API. EuroCaution, for example, syncs Penbox with Microsoft Dynamics and SharePoint and keeps its underwriting decisions in house.
Which teams usually start first?
Claims is the most common starting point, followed by underwriting and subscription, customer servicing and compliance campaigns. Allianz started in claims operations and is expanding to underwriting and corporate.
How long does a deployment take?
It depends on scope. Unéo digitised its military protection subscription in one month, SWINZ embedded a claims journey in under three weeks, and Groupama deployed its initial solution in under six months while covering more than 200 scenarios.
What do policyholders see?
A short message with a link. They complete a guided form on their phone, upload documents and follow progress in a customer portal. No account to create and no app to install.
How are documents checked?
Document Intelligence extracts typed fields with confidence scores and image quality checks, so unreadable or incomplete files are caught at submission instead of days later.
Can we build and change journeys ourselves?
Yes. Journeys can be built visually or with an agent, and both an API and MCP are available for integrations, so product and operations teams can adapt a flow without a new project.
Is our data processed in the EU?
Yes. Processing is 100% in the EU, customer data is never used to train AI, and Penbox acts as a GDPR processor under an Article 28 DPA.
How does Penbox handle security reviews?
The security page lists the practices up front, and questions can go to security@penbox.io. Independent penetration tests follow OWASP ASVS, and tenant data is isolated with PostgreSQL row level security.
What does it cost?
Penbox is priced per user. There is a free plan, Essential at €29 per user per month on annual billing, Pro at €69, and Enterprise on request. The pricing page lists what each plan includes.
