Challenge
SWINZ needed a claims experience as simple as its all-in-one insurance product. Customers expected autonomy, while the team and its broker partners needed complete, structured claim data. Building and maintaining a separate journey for every insurance product would have slowed the company down and fragmented the experience.
Solution
SWINZ embedded Penbox into its platform and app through the API. Customer and contract context creates a personalized, prefilled claims journey, and Penbox returns the collected information to SWINZ’s systems using the company’s existing data mappings. Roles and permissions keep the customer, SWINZ team, and broker connected to the same process.
Results
The integration was completed in under three weeks. SWINZ can now offer one intuitive claims experience across multiple insurance products, receive better-structured data directly in its systems, and send contextual follow-ups when information is still missing. The same approach has since been extended to broker onboarding.
A digital promise that claims had to keep
SWINZ was created to make personal insurance feel more like the digital services people already understand. Instead of asking customers to manage several separate contracts, the Belgian company brings everyday coverage together in one all-in-one insurance pack.
That promise could not stop when a customer needed to report a claim. Claims are often the moment when an insurance experience matters most. A process that felt slow, confusing, or disconnected would undermine the simplicity SWINZ had built everywhere else.
The team therefore looked at claims from both sides. Customers wanted the autonomy to report what happened without unnecessary friction. SWINZ and its broker partners needed the right information to arrive in a structured format so the claim could move forward without avoidable clarification.
Self-service without leaving customers alone
SWINZ identified four connected opportunities: give customers more autonomy, make the experience intuitive, improve the structure of incoming data, and create an operating model that could scale with the business.
Those goals required more than putting an existing declaration online. The journey needed to adapt to the customer's insurance context and make a complex request feel manageable. It also had to preserve the human role of the broker when guidance was needed.
Penbox gave SWINZ a configurable claims layer that could support detailed business logic without forcing the company to develop and maintain the entire experience internally.
Embedded in SWINZ in under three weeks
SWINZ integrated Penbox directly into the heart of its platform and app through the API.
When a customer initiates a claim, SWINZ sends the relevant customer and contract context to Penbox. The customer receives a personalized journey with known information already completed and questions adapted to the situation. This reduces repetition and gives the customer a clearer path through the declaration.
Once the customer submits the required information, Penbox sends the structured data back to SWINZ according to the company's existing mappings. The claims team is alerted and can access what the customer provided without reconstructing the declaration from disconnected inputs.

The speed mattered because SWINZ could improve the claims experience without turning it into a long internal development project. Penbox handled the customer interaction and structured intake while SWINZ kept its platform and data model at the center.
One journey across multiple insurance products
An all-in-one product brings several types of coverage together. Behind the simple customer promise, each claim can still require different questions, information, documents, and follow-up.
Building a separate static experience for every product would have recreated that complexity in the operating model. It would also have made improvements slower, since every journey would need to be developed and maintained independently.
Penbox's dynamic logic allows SWINZ to adapt one claims experience to the customer's context. Customers see what is relevant to their situation, while the team receives data in a consistent structure.
This lets SWINZ preserve simplicity on the customer side without pretending the underlying insurance work is simple.
Bringing the broker into the same process
SWINZ combines digital autonomy with access to professional broker support. The claims journey therefore needed to include more than the customer and the internal team.
Using roles and permissions, SWINZ can involve brokers in the process while keeping access appropriate to each participant. The customer can move independently, the broker can provide guidance where needed, and the SWINZ team retains oversight of the declaration.
That creates one coordinated experience instead of separate digital and human channels that need to be reconciled afterwards.
Extending the same pattern beyond claims
Once the integration was in place, SWINZ could reuse the same approach for other customer and partner interactions.
The company also uses Penbox to onboard brokers onto its platform. It is considering additional journeys for customer feedback and other structured data collection needs.
The common pattern remains the same: use context already available, guide the participant through what is still needed, and return structured information to the systems where the team works.
Simplicity that survives complexity
SWINZ did not need another isolated customer interface. It needed a claims experience that could reflect several insurance products, integrate with its own platform, and support customers, brokers, and internal teams without exposing the complexity underneath.
Penbox became that interaction layer in under three weeks. SWINZ sends the context, the customer completes one guided journey, and clean claim data returns to the company's systems.
For customers, the result is a clearer declaration. For the team and its brokers, it is a better-prepared claim that can move sooner.
