Each participant must provide the right identity, financial and legal evidence, while EuroCaution verifies who can commit each company. Coordinating every contribution without losing control of the underwriting decision made the process difficult to scale.

The completed case synchronizes with Microsoft Dynamics and SharePoint, while EuroCaution keeps control of every underwriting decision.

A transport guarantee is rarely a one-company application
For a Belgian road transport operator, access to the profession depends in part on demonstrating sufficient financial capacity. The amount to be covered changes with the number of vehicles operated. E-Cautio.transport allows the transport company to meet this requirement through an insurance-backed guarantee rather than tying up the equivalent amount in a bank deposit or credit facility.
The customer proposition is simple. The work required to establish the guarantee is not.
EuroCaution needs to understand the transport business, the fleet to be covered, the requested guarantee and the people responsible for the operation. It needs to identify the relevant company representatives, determine who can legally commit the business and collect the documents required to assess the application.
Some cases also involve one or more joint guarantors. A guarantor may be an individual or another company. That introduces another set of representatives, identity information, financial evidence, declarations and signatures. The transport manager may be different from the applicant or legal representative, creating another participant with a distinct role in the same case.
What looks like a single application can therefore become a network of related contributions. Every participant needs to provide the right information. Every document needs to remain connected to the right company and decision. Every signature needs to be obtained in the correct sequence.
This is not a form problem. It is a case-management problem.
Building the journey around the underwriting decision
EuroCaution and Penbox translated the E-Cautio.transport process into a reusable case template. The template does not assume that every application will follow one uninterrupted happy path. It reflects the actual decisions and corrections that can occur before a guarantee is issued.
The case begins with EuroCaution’s internal preparation of the offer. The offer can then be shared with the applicant, corrected when required, accepted or refused. A signed offer opens the next phase, in which Penbox requests the information required for the contract and creates the contacts who need to participate.
The contract is then prepared and sent for signature. If the structure requires joint guarantees, the case opens a separate signing sequence for each guarantor. The current E-Cautio.transport template can coordinate as many as five joint-guarantee documents inside the same case.
Each step inherits the context collected before it. The commercial team does not need to rebuild the list of participants, search through previous messages or create a new workflow for every variation. Penbox understands which stage the case has reached, which contributions remain outstanding and what should happen next.
The structure also keeps EuroCaution in control. An employee can correct an offer, record why it was refused, approve the maximum amount and review the analysis before the contract progresses. Penbox automates the operational work around those decisions without replacing the judgment behind them.

Verifying the company while collecting its information
An applicant should not have to enter information that can already be retrieved from an authoritative source. EuroCaution’s team should not have to leave the case, search for the same company and manually copy the result back into its working file.
Penbox brings secure information collection and company checks into the applicant journey. As a company completes its request, Penbox retrieves the available company information needed for the case. This helps EuroCaution identify directors and representatives and establish who is authorized to commit the company.
The same case brings together the supporting financial and regulatory evidence required for assessment, including credit information, analysis documents and the relevant transport-register information. Sensitive personal and financial information is collected through the secure Penbox journey instead of being distributed across ordinary email attachments.
These checks do not make the underwriting decision. They prepare a more complete and verifiable context for the people who do.
For the commercial team, the difference is practical. Information that previously required separate searches, requests and data entry becomes part of the case automatically. When something is inconsistent or incomplete, the issue is visible where the decision is being made.
One case, a different journey for every participant
The applicant, transport manager, legal representative and joint guarantor do not all need to answer the same questions. Asking every participant to complete one large generic request would create confusion and expose information to people who do not need it.
Penbox gives each participant a journey based on their role.
The transport company can provide its fleet and guarantee information. The transport manager can provide the personal and professional information connected to that responsibility. A legal representative can confirm the company information and authority required to sign. Each joint guarantor receives a dedicated request for their own identity, financial evidence and signature.
The journeys remain separate for the participant but connected for EuroCaution. The commercial team sees one evolving case with a clear view of what has arrived, what is still missing and who is responsible for the next step.
Automatic reminders continue the follow-up by email or SMS. A participant who has completed part of the request can return to the remaining steps without starting again. EuroCaution employees can intervene when the situation requires clarification, but they no longer need to manually chase every expected contribution.
From approved case to signed contract
Once EuroCaution has reviewed the application and approved the structure, the same verified information becomes the basis for the offer and contract.
Penbox automatically prepares the draft documents from the case data. The premium, authorized amount, policy information, parties and applicable guarantees can flow into the right documents without being copied manually from the application. If EuroCaution needs to correct an offer, the revised version remains part of the same history.
The approved documents are then shared with the relevant participants. Penbox coordinates the contract signature and the individual joint-guarantee signatures, tracks each participant’s progress and sends reminders when action remains outstanding.
This matters because a signed main contract does not necessarily mean the case is complete. When several guarantors are involved, the guarantee can depend on a complete set of separately executed documents. Penbox continues running the case until every required signature and document is available.
The outcome is one traceable progression from the information originally provided to the documents ultimately signed.
Keeping Dynamics and SharePoint aligned
Penbox runs the interaction and progression around the case, but EuroCaution does not need to create another isolated source of information.
The case is synchronized in real time with Microsoft Dynamics. The information collected through the applicant and participant journeys can update the operational records used by EuroCaution’s team. Employees do not need to re-enter the same company, contact and contract data after the journey is complete.
Documents are synchronized with SharePoint, including the final signed versions. SharePoint continues to provide the document environment EuroCaution already uses, while Penbox ensures that the right documents are produced, collected and completed as part of the case.
This division of responsibility is deliberate. Dynamics and SharePoint retain the records and documents EuroCaution needs. Penbox coordinates the people, decisions and actions required to create them.
From initial application to an ongoing customer relationship
A transport guarantee does not become static when the first contract is signed.
EuroCaution regularly needs updated financial information to keep customer files current, confirm continued compliance with the applicable contract conditions and maintain the guarantee. Contracts also reach renewal, creating another moment when information and documents need to be requested, reviewed and connected to the existing customer relationship.
EuroCaution uses Penbox for this work too. Customers receive a clear request explaining why an update is required and which information or documents they need to provide. They complete the request through a guided journey, while Penbox tracks the response and follows up on anything outstanding.
The same operating model therefore extends beyond acquisition. It supports the lifecycle of the guarantee, from the first application through ongoing financial reviews and renewal.
That continuity is important. EuroCaution does not have to treat every annual update as a new collection exercise or restart an email chain without context. The next request begins with an existing customer and an existing case history.
